I need to change an activity’s matrix code, but receive a warning message that I will lose data. What are the risks, and how should I proceed?

IDIS collects the appropriate information based on the combination of type of activity (matrix code in IDIS) and the national objective. Whether set up or accomplishment data will be lost depends on the data collection requirements of the new combination of the national objective and matrix code compared to the current one. Typically, if a matrix code is changed from two similar types of activities and there is no change in national objective, little or no data will be lost.

However, if the new matrix code/national objective combination changes significantly, there is a potential for data loss.

As a precaution, you can document the current set-up and accomplishment data entered for an activity by either a) taking screenshots of the appropriate screen or b) downloading a PR03 report before changing the Matrix Code.

To change the matrix code of an activity with “Open” status, follow these steps:

  1. On the Search Activity screen, enter the IDIS Activity ID and retrieve the activity to be updated.
  2. When the results are displayed, click the Edit link in the Action column (the last column) to display the Edit Activity screen.
  3. When the Edit Activity screen is displayed, click the arrow at the end of the Matrix Code field to display the Matrix code dropdown.
  4. Select the new matrix code by clicking on it.
  5. A dialog box is displayed, warning that "Changing the activity category may result in loss of data. Do you wish to continue?" Click [OK] to continue.
  6. Click the [Save] button. You will receive another message “CAUTION: saving any change on this screen will result in loss of data, and the operation cannot be undone.” You must click [Save] again to complete the action.
