How do I set up Direct Benefit and Area Benefit Activities in the Action Plan?

After entering the Activity Type on Edit Activity – Page 1, the grantee will begin selecting the proposed Beneficiary Type and subsequent information on Page 2.

Direct Benefit Activities

Once the grantee indicates the Activity will be Direct Benefit, they will need to indicate if the households assisted will be owner, renter, or both. The grantee will also indicate if the housing units expected to be assisted will be single-family or multifamily. When the grantee enters this information, the system will provide additional fields in the second area of data collection.

When reporting on this activity in the Quarterly Performance Report, the grantee will have to provide race and ethnicity data, head of household data, and income data for each household assisted.

Area Benefit Activities

Grantees may choose one of two methods to document compliance for beneficiaries on the Add/Edit Activity – Page 2: (1) Census data, or (2) Survey data.

Once a selection of Census or Survey is made, DRGR will prompt the user to enter area information. The following page shows the workflow for the two Area Benefit options.

Under the Census approach, Grantees can choose to copy the Census Tract/Block Group information from another Activity (“Duplicate Activity”); chose a County or City-wide service area; or Select Census Tracts or Clock Groups.

Census Method - Duplicate Activity

To copy a Service Area from another Activity, Choose a Grant # and Activity # and click the Copy Service Area button.

Census Method - Jurisdiction-wide

Choose Service Area is City or County-wide and then a drop-down box will appear to select the City or County. Once you have select the City or County, click on the Calculate % Low/Mod button.

Census Method - Census Place/Tract/Block Group

Grantee users will be prompted to select Census Tracts and Block Groups after they identify the county or counties for the Activity.

Users can select all Census Places (cities) or select one or more by highlighting them from the Available Census Places window and using the buttons on the screen.

Similarly, users can select all Census Tracts in a county or select one or more by highlighting them from the Available Census Tract window and using the buttons on the screen.

If users want to select Block Groups, they can then click the Select Block Groups button to get to the next screen. 

Grantee users should click the Calculate % Low/Mod button after selecting Census Place and Tract(s) or if the Grantee has also identified Block Groups, should click the Calculate % Low/Mod under the Block Group page after making selections.

Survey Method

To copy a Service Area from another Activity, Choose a Grant # and Activity # and click the Copy Service Area button.

For the Survey Method, a grantee may use the Census data or populate the Total Number Low, Total Number Low/Mod, and Total Population for the system to calculate % Low/Mod.
